Report Subscriptions

Almost all the reports on the Atlas Reporting tab can be set up to be run and emailed to users.  For example, if you run a report every week to show staff recent gifts, we can set up a subscription to run the report every Monday at 10:00 am and send it by email to users you specify.

Good to Know!

  • To give affiliates more control over subscription recipients, we are working to migrate most subscriptions to run using an attribute in Atlas.  The Report Subscription attribute is added to the user’s constituent record in Atlas.  The subscription itself selects all constituents who have the attribute.  This allows the affiliate to add or remove staff from existing subscriptions so a mojo ticket is only needed for new subscriptions.  To summarize:
    • to add or remove a staffer from an EXISTING subscription you can add or remove the Report Subscriptions attribute to their Atlas constituent record.
    • to create a NEW subscription, please add a mojo ticket
    • to CHANGE the selected parameters, time, cc, bcc, message of an existing subscription, please add a mojo ticket
  • Because most of our reports contain confidential information, subscriptions are ONLY sent to valid work email addresses, for example: partners.org, mgb.org or the appropriate affiliate harvard.edu.  This is enforced when the subscription is set up, so a requirement is that staff constituent records in Atlas have their work email entered, this email does not need to be primary but it does need to exist and be usable.
  • Subscription information we can customize for you includes: email to, email cc, email bcc, email reply-to, email subject and text, delivery dates and time, and report parameters
  • There are two kinds of subscriptions.
    • Regular subscriptions go out on a schedule if there is data available or not.  This can be good if you want users to be aware the report ran even if no data was returned, for example a daily gift report where you want the report delivered even if no donations were entered so all staff are kept in the loop.
    • Data-driven subscriptions are sent only if there is qualifying data for the report.  This is commonly used for PI reports sent to physicians to inform them of donations made to their funds, we only want the report to be sent if there are donations and want the report suppressed if no donations were received.

How Do I?

  • Add or remove users from a subscription using the Report Subscription attribute?  Just add or remove the attribute from the user’s constituent record in Atlas.
  • See what subscriptions a constituent is receiving through the Report Subscription attribute?  Check out what attributes the constituent user has in Atlas.
  • Add a new subscription?  Just create a mojo ticket!
  • Add my own subscriptions?  Some affiliate administrators have permissions to set up and maintain their own subscriptions.  If this is something you wish to do, please contact MGB support for training.
