Prospect Research Request

Stewardship Reports, Prospect Assignments and Prospect Research Requests all convert to CRM Prospect Research Requests.

Research can be requested for a group of prospects at one time that share the same priority, research reason, and requesters.  Each request is assigned a number (for example “15”), and each prospect in the request is assigned a sequence number (for example “15-1”), so when you see a request ID that includes the sequence number you are looking at an research request for just one constituent.

Good to Know!

  • Research requests can only have one type of research for each request.  For example, if you select a record type of “Individual” you can only add individuals to this request, you would need to add organizations to a separate request.
  • You can have up to 500 constituents on each request!
  • If you use the record type of Event, all the event participants are added to the research request.  If you only want a subset of event invitees, best bet is to use a research list
  • Research requests start with a status of Pending.  Once assigned they move to a status of Assigned and the research can see the request on their My Open Requests page.  When work is started the status should be changed to In Progress, and finally the Complete Request button changes the status to Completed.  Once the request is assigned, only the ASSIGNED USER can change the status of the request and mark it complete, pending, etc.  If you are not assigned to a request that is in progress but want to change the status, you have to assign it to yourself, mark it in progress, and then complete the request.
  • Once a research request has been marked as Completed and a completion date has been added, you cannot change the status of the request. If the request needs to be re-opened or the status needs to be changed, you can edit the request and delete the completion date, and click Resubmit to save the change. This reverts the research request back to the previous status.
  • If a parent request is assigned you cannot delete the child research request.  In this case you can cancel the child request.

    • The same back-end table for Prospect Research Requests is also used for Prospect Assignment and Stewardship Reports at Partners
    • RE Actions with types listed converted to CRM Research Requests:  Prospect Research – Proactive, Prospect Research – Prospect Identified, Prospect Identified, Prospect Research – Request, Prospect Research Request, C&F Prospect Research/Identification, Prospect Research – To Be Rated
    • RE Actions with the following types convert to CRM Research Requests that are used for Prospect AssignmentProspect Assignment, Prospect Management – Assign, Prospect Unassign, Prospect Management – Reassign, Prospect Management – Unassign
    • RE action type Stewardship Report became CRM stewardship reports

 

Request Date –  In Atlas this defaults to the date the request is created and cannot be changed.  (Conversion = date from the RE action attribute “Prospect Research – Received Date“, If this is null, then RE action date added)

Status –  (Conversion – Set to “Completed” if RE action completed date is not null, else set to “In Process”)

Record Type –  If RE records Key_indicator = “O” then “Organization”  else “Individual”

Prospect to Research – RE constituent for this action, e.g. if the action is on John Smith, John Smith is the prospect to research

Priority –   (Conversion – If RE action priority = 0 then “Urgent” else “Standard”)

Due Date –  (Conversion – Date from RE action attribute category = “Type of Research”, if null and the completed date exists and is in the past, then use the completed date, otherwise use the RE action date)

Completed Date  (Conversion – completed date must be after the due date, if the completed date is in the future then leave blank, otherwise use the action completed date)

Research Type –   (Conversion – IF action type is stewardship Report then set the type based on the value of the Stewardship Report Provided attribute (or Financial or Narrative Stewardship Report attributes for BWH).   If action type one of Prospect Assignment, Prospect Management – Assign, Prospect Unassign, Prospect Management – Reassign, Prospect Management – Unassign then set research type to “Prospect Assignment Request”.  If RE action type = “C&F Prospect Research/Identification” set Research Type to “C&F Research/Identification”, otherwise  Set Research type = Isnull(attribute description,”Research – Other”) from the RE action attribute category = “Type of Research”

Request Reason – Select as appropriate  (Conversion:  1. If the RE action type = Stewardship Report then Stewardship Report.  2. If RE action type one of ‘Prospect Assignment’ then check the type of the most recent notepad:  if “Prospect: Removed” then “Prospect Assignment – Removed”, if Prospect: New Assignment then “Prospect Assignment – New”, if Prospect: Reassigned” then “Prospect Assignment – Reassign” otherwise “Prospect Assignment – New”.  3. if RE action type one of ‘Prospect Management – Unassign’,’Prospect Unassign’ Then set Request Reason = “Prospect Assignment – Removal”.  4.  If RE action type is ‘Prospect Management – Assign’ Then ‘Prospect Assignment – New’. 5. if RE action type = ‘Prospect Management – Reassign’ Then ‘Prospect Assignment – Reassign’.  6. If RE action type is ‘Prospect Assignment’ then ‘Prospect Assignment – New’.  7.  If RE action type = ‘C&F Prospect Research/Identification’ then ‘C&F Research/Identification’  8. if If RE action type = ‘Prospect Research – Request’ then ‘Research Request’.  8. If RE action type = ‘Prospect Research – Proactive’ then ‘Proactive Research Data Upkeep’.  9. If RE action type = ‘Prospect Research – Prospect Identified’ then ‘Prospect Identified’ 10. If RE action type = ‘Prospect Research – To Be Rated’ then ‘Prospect Rating’ 11. Otherwise, set the research reason to ‘Research: ‘ + the value from the RE action attribute “Prospect Identification – Source” and if that is null use ‘Informational/Other’

Requested By – (required)   (Conversion: Prospect Research-Source Name is an action attribute that links to a constituent.  If this exists, set requested by to the constituent in this attribute.  else use RE action solicitor.  IF there are multiple solicitors on the action please pull the one with the min sequence number)

Submitted By – (not required)  Actions added by user. see logic for “Partners User ID to Records ID Logic” the user that added the action must have the CRM note author attribute used to convert notepad authors.  MGH has set all their values to blank)

Assigned to:  (Prospect Research-Status Name is an action attribute that links to a constituent.  If this exists, set assigned to the constituent in this attribute. Else use RE action solicitor.  If there are multiple solicitors on the action please pull the one with the min sequence number)
