Constituent codes can be affiliate specific (known as user-defined) or system defined. Some constituencies are added to allow for additional tabs to pop up, for example when the “Prospect” constituency is added to a constituent the “Prospect” tab appears. Other system defined constituencies will be automatically added under certain circumstances, like “Event Registrant” when the constituent is part of an event
Good to Know!
- User defined codes are set by each affiliate
- System defined constituencies are automatically added by the system or are added to allow additional functionality
- Fundraiser – when added to a constituent a new “Fundraiser” tab appears. This needs to be manually added
- Prospect – when added to a constituent, additional functionality becomes available including a visible prospect tab on the constituent’s record, the ability to more easily assign a prospect manager and prospect team and the ability to search for any constituent when using a prospect search list. We have added a customization so that all constituents will have the Prospect constituent code added automatically when a constituent is created.
- Board/Committee Member – added automatically when a constituent becomes a member of a committee.
- Event Registrant – added automatically when a constituent is part of an event, start date will default
- Volunteer – when added the ‘Volunteer’ tab is enabled
- Employee – used to denote all employees of the affiliate including medical, administrative, research staff and faculty. There are global changes that add/remove this code from constituent as needed. Any constituents with the code has their wealth and ratings suppressed from view
- Staff – used to denote development office staff only. Constituents with this code have their patient data suppressed from view
- Patient – created when a record is added to the Visits table. (Technical note: this constituency is created by an insert trigger on the USR_EPIC_VISITS table.)
- CRM does not have a concept of Primary Constituent Code like RE. We have purchase an add-on from BB that will select the primary constituent code for a constituent based on the order of the constituent code table in CRM. This information can be found in Smart Fields and can be used in queries and exports
- Conversion notes:
- start and end dates for constituent codes did not convert to CRM for any user defined constituent codes; per common model we are not using these in RE
- if the constituent had the “Is Solicitor” checkbox checked on the RE Bio1 tab, they have a “Fundraiser” constituent code in CRM. When a constituent has the Fundraiser constituent code they also get the “My fundraiser” tab that has additional information about their prospects and plans.
How Do I?
- Mark someone as a solicitor? Just add a system defined constituent code of “Fundraiser”
- Modify the hierarchy for the primary constituent code? Go to Constituent >> Constituencies >> Edit Constituency Order.
