Documentation and Interactions/Interactions

Personal or personalized contact with this constituent.

Click on the hyperlinked Summary column to open the Interaction page with individual tabs for Details, Documentation, and Attributes, and sometimes tabs for Responses and Revenue, depending on the type of Interaction. The Stewardship Purposes tab is only enabled if the Organization option for Stewardship reports is set to Interactions.

 

Good to Know!

  • For Group constituents (such as Boards and Committees), this tab includes an additional filter to Include interactions for former membersThis box is unchecked by default, and when it’s unchecked, the list only shows Interactions for Active members, and only Interactions that occurred while they were members. There are also two additional columns available: Active member (Yes or No) and Roles (lists all current roles).
  • Site is used only at BWH for their IPC program, and by CDHC
  • CONVERSION NOTES:
    • RE actions converted to CRM Interactions.
    • RE actions linked to proposals convert as plan steps
    • Multiple action solicitors are handled differently in CRM.  The first action solicitor in RE converts as the Interaction Owner, other action solicitors convert as action attributes.  If the action is linked to a proposal, the first action solicitor is the primary solicitor, and the others are additional solicitors.
    • In CRM the interaction expected date = RE action date, and the CRM actual date is the RE completed date.  For MGH only the CRM Actual date is set to the RE Action Date.  So for MGH only the expected date and the actual date will be the same.
    • The description from the first RE action notepad converts as the interaction summary.  In cases where there is no action note in RE, or there is a note but the notepad description is null, the RE action type is used.
    • Atlas interactions are not linked to campaigns or funds, to preserve this information campaign and fund information will be converted to notes.
    • Patient visits actions from RE will be moved to patient information and are not converting to interactions

    • Prospect disqualified converted to an interaction in CRM.  Category: Prospect Management, SubCategory: Disqualified
    • For BWH only, site set to BWH-IPC for all interactions that have one of the following RE action types:Customer Service, Inquiry-Int’l, Inquiry-DFCI Int’l, Inquiry-EH Int’l, Inquiry-EH Domestic, Inquiry-Opinion, Inquiry Follow-up, Questionnaire Submitted, Clinical Triage, Appointment Requested, Appointment Confirmation Letter, Appointment Follow-up, Chemo Flow Sheets, Cost Estimate Request, Cost Estimate Sent to Patient, Discharge Summary, Disease Specific Medical Records, ECOG score, EH Summary Packet Sent, E-Consult, Financially Cleared, Inquiry-Returning Patient, Insurance/Billing Assist, Medical Records, Opinion Letter Sent, Path Report and Slides, Provider Notification, Radiology CD/Films, Radiology Report/Slides, Records Sent to Provider, Registration Assist, Secondary Appt. Request, Written Report/Notes, Escort/Visit
    • RE actions can have funds, campaigns and letters associated with them but these codes do not exist in Atlas.  To avoid losing this information, we converted these as interaction notes:  CAMPAIGN ID, FUND ID AND LETTER CODE.  These interaction note types have been marked inactive and are for historical purposes only.
    • Interaction comments were added using the following hierarchy
      • Some RE action notes converted as an attachment.  If the RE note converted as a CRM attachment, do nothing – please leave it converting as an attachment
      • IF there is just one interaction or planned step note in CRM, DNC the note in documentation and convert the note to interaction comment.  Just move the note comment, not the author, title, date, etc.  If there are multiple notes, please see #3 below.
      • If interaction comment is still blank and there are notes or documentation, update interaction or planned step comment to read “See documentation”
