Users can use a Solicitor goal batch to create goals; users who prefer to enter records in some other format (like a spreadsheet) can create an Import process.
To get started, go to Administration >> Tools >> Import, or go to Batch templates, find a Solicitor goals template batch, and click on Create import…
This window contains 3 tabs (with some subtabs on the final tab).
Configure import file.
Give the Import process a Name and a Description and choose the user who should own any batches created by this import. Choose the Batch template; if you launched this window from the Batch Templates list, it will already be set.
For Import source, choose Local file, and click on the green upload arrow to select your file. Click on Next.
Map fields.
The fields available in the template will appear in the Batch template column list; in the Import file column, match the template column list to the corresponding column in your file. Be sure to verify the delimiter used in your file. Click Next.
Set options
This tab has three subtabs.
First, use the Import workflow tab to determine what should happen to your batch once it is created. The options are listed in the screenshot below. Validated new batches but do not commit any records is the default and is preferred in most situations.
Second, on the Date formats tab, specify how dates should be formatted in the Batch(es). Dates in Solicitor goals batches should be M/d/yyyy.
Third, on the Other tab, you can leave the default values for Code table fields and Simple data lit fields.
For Search list fields, choose Quick find if your file contains the fundraiser Lookup ID. Select the most appropriate option for When a blank value is present, use; we recommend default value from batch. Click Save.
Once the Import process has been created, on the Import processes list, there are tasks to Edit the import, Assign permissions, or Start the import. Remember, the import process typically just creates a batch; to actually see the Goals on fundraiser records, validate and commit the batch as you would validate and commit any batch.
This same Import process can be used to create next year’s Solicitor goals; just upload a new file.
