Prospect/Fundraising Plans

Fundraising plans and opportunities capture personal solicitation activity.  There are two types of plans:  Fundraising and Stewardship Plans.  Detail below is about fundraising plans.

Good to Know!

  • One plan can have multiple opportunities
  • Plan outlines can be created to default steps involved with fundraising plans and streamline entry.  See job aid for tips on creating plan outlines.
  • The plan stage is set by the stage on the next pending step.  If there are no pending steps on the plan, then it is set by the most recently completed step.  Only the date, not the time, is stored in Atlas, so if there are two steps completed or pending on the same day the system breaks the tie by using the lowest entry in the Prospect Stage code table.  Therefore the Prospect Stage code table should be ordered appropriately with the earliest solicitation steps at the top, and the final steps at the bottom.
  • Conversion Notes:
    • RE proposals converted with information split between one Atlas plan and one opportunity
    • RE actions linked to an RE proposal converted as plan steps

 

Fundraising Plan Entry

 

 

 

 

 

Plan Name:  Description of the plan  (RE proposal Name converts here)

Plan Type:  Select as appropriate (RE Proposal Purpose)

Plan Start Date:  Required (RE Proposal Added Date)

Plan Site: added as needed, not used for any affiliate at this time (Nothing converted here)

Plan Narrative:  Description/Strategy for this plan
(Nothing converted here except for BWH When RE Proposal has a linked Action with Type = Strategy, lift the Action Notepad Note into the Narrative field.  If there is more than one note, select the last one based on id in RE)

Plan Primary Manager:  Development Staff member responsible for this plan, usually the prospect manager but could be different. (1st solicitor associated with this proposal in RE that does not have the constituent attribute CRM Plan Solicitor Role)

Primary Manager Start Date:  date this primary manager started on this plan (conversion, set to plan start date)

Plan secondary Manager:  Other Development staff member involved with this solicitation.  (Second solicitor associated with this proposal in RE that does not have the constituent attribute CRM Plan Solicitor Role)

Secondary manager start date: date the secondary manager started this plan (conversion, set to plan start date)

Secondary solicitors, role, start date: Others involved with this solicitation.  (Any solicitors after the first and second on the RE proposal converted here with role of “Additional Solicitor”, any solicitors that have the attribute CRM Plan Solicitor Role will convert here with the RE attribute description as the role, associated physicians linked as RE proposal attributes also converted here)

Plan Participant:  Others associated with the plan, usually these are related to the prospect like a spouse or legal advisor.  This also includes NON Development staff that are part of the solicitation.   (The current spouse in RE converted here for all affiliates except for BWH)

Plan business unit: displays on the bottom of the plan page, pulled in from plan attributes when the plan is created  (Converted following this hierarchy 1. use the RE proposal attribute “Business Unit if exists, 2. else if the proposal has a campaign, use the development unit attribute on the campaign, 3.     Otherwise default “Major Gifts”)

Plan Steps:  Steps to advance this plan, see Plan Steps (Actions linked to the proposal in RE convert here, plan step stage relates to RE proposal status and converted from a translation spreadsheet)

Additional Plan Components/Tabs

Details:  See basic info added when the plan was created, as well as pending and completed plan steps.  To update the plan or the primary manager see the task buttons on the left.

Solicitors and Participants:  Additional solicitors and participants can be view or updated here.

Documentation:  Any notes or media related to this plan.  (RE Proposal Notes)

Planned Gifts:  See Prospect/Planned Gifts

Manager History:  History of changes to the primary plan manager
